Distance makes reliable information more valuable. A practical monthly routine should tell you what happened in the business, what needs your approval and what your team must do next. Begin with the records and responsibilities that support those decisions.
Useful for: Overseas owners and promoters of businesses operating in India
Agree how records reach your accountant
Choose a contact in the business, a document cut-off and a process for missing records. Keep sales, purchase and expense documents connected to the corresponding bank or cash entry.
- Separate owner transfers and personal spending from operating transactions.
- Explain unusual receipts, advances and loans when the record is supplied.
- Maintain opening balances and a list of unresolved items.
- Agree who can approve adjustments and payments.
Request a monthly pack you can act on
Agree the reports needed for your business: profit and loss, balance sheet, customer dues, supplier payments and upcoming cash requirements. Add a short explanation of unusual changes.
Use the review call to assign actions. An ageing report is more useful when someone is responsible for collecting overdue balances. Record the next review date and the decisions requiring your approval.
Keep a separate compliance responsibility list
Record each applicable registration or filing, the person preparing it, the approver and where acknowledgements are retained. Discuss GST, TDS, payroll and entity filings according to your business activities and structure.
Use the GST and MCA portals for official notices and current filing information. Before starting an entity or changing ownership, have the proposed structure and overseas participation reviewed for applicable requirements.
